Call center · sample weekly report

What you read
every Monday.

One page, plain numbers, and a straight account of what's working. Below is the format for each track, with illustrative figures so you can see how it reads.

This is a sample of the format, not a client result. Every figure below is illustrative. Your real report starts from your own list, your own storms and your own baseline, and we don't promise any of these numbers.

Records moving up a stage, from no one named to a decision-maker reached, is the earliest sign the list and the calls are working.

What we learned

Most of this week's "no" answers were "we already have a roofer" and "send an email." We're testing a shorter opener on the front desk and logging which version gets a name. Volumes are small, so treat it as directional.

List health

9 wrong numbers, 4 reached a neighbor at another address, 3 closed or vacant, 1 do-not-call request honored the same minute. We fix these in the data before we change the script.

Quality and compliance

20 calls reviewed, average score 22 of 28, 0 rule breaks, 1 do-not-call request handled.

Next week

A new wave of buildings. What we need from you: open slots for roof visits in the next 2 to 4 days, and outcomes entered within one business day.

Residential

Week of [date]

"We made 37,500 dials, spoke with 1,300 homeowners, set 11 inspections, 9 were held and 2 contracts were signed."

What we learned

Evenings reached more homeowners than weekday daytime. The top reasons for "no" were "I already have a roofer" and "my roof is fine," so we're sharpening the honest answer to each.

By storm

Each report breaks results out by hail date and area, so you can see which storms are still worth working and which have run their course.

List health

410 wrong numbers or not the homeowner, 140 renters, 95 vacant, disconnected or commercial, 60 language flags for a bilingual follow-up, 38 do-not-call requests honored the same minute.

Quality and compliance

150 calls reviewed, average score 21 of 28, 0 rule breaks. Callers never discuss insurance, claims or deductibles.

How we count

Plain definitions, agreed up front.

Before the first call we write down what each number means and agree it with you, so the report can't be read two ways.

  • Contact: a person answered the phone.
  • Conversation: a real exchange about the building or the home.
  • Appointment set: date, time and site contact confirmed, and on your calendar.
  • Appointment held: your rep met the contact and did the visit or inspection as agreed.
  • Job booked or contract signed: recorded by your team, with date and amount.
  • Cost per held appointment: the full weekly program cost divided by appointments held, with what's included stated every time.
